How US painters estimate jobs
Gallons, not guesses
Wall area minus doors and windows, divided by the spread rate on the can (often 350 to 400 sq ft per gallon), times coats, rounded up to whole gallons and fives.
Prep is priced, not hidden
Scraping, patching, caulking, priming and masking get their own hours, so a heavy-prep exterior never sells at a repaint price.
Interior and exterior rates
Separate production rates for walls, ceilings, trim, doors, siding and soffits, because a door does not paint at the speed of a wall.
Tax and paperwork
The US edition follows the rules that apply to painting work in your state.
- Sales tax
- Some states tax painting as a service or tax the full contract; many tax only the paint you buy. Choose your state's method and the estimate follows it.
- Lead-safe work
- Disturbing paint in homes built before 1978 falls under the EPA Renovation, Repair and Painting rule, which needs a certified firm and renovator. The estimate has a lead-safe line.
- Licensing
- Some states license painting contractors above a job value, and others only require local registration. Your number prints on the estimate.
- Deposits
- Many contractors take a deposit for materials. Some states cap deposits on home improvement contracts, so the deposit percentage is your choice on each estimate.

Questions
How many gallons do I need for a 12 x 14 room?
With 8 ft walls that is about 416 sq ft of wall before openings; take off doors and windows, then two coats at 400 sq ft per gallon is about two gallons. The calculator does this for every room.
Do I charge per square foot or per hour?
Most painters quote a fixed price built from square footage and production rates. The template shows the hours underneath so the price is still grounded in your labour.
Do I need lead certification?
For paint-disturbing work in pre-1978 homes, child-care facilities and schools, the EPA RRP rule requires it.
Does it work for cabinets?
Yes. Add cabinet doors and boxes as line items with their own rate per door or per linear foot.
