How UK builders run a job

Provisional and PC sums

Allowances for kitchens, sanitaryware or unknown groundwork are shown as PC or provisional sums, so the client knows which figures can move.

Stage payments

Payments tied to stages such as foundations, wall plate, watertight and second fix, with what is invoiced and paid at each.

CIS for your subbies

Verify each subcontractor's CIS status, deduct 20% or 30% from labour, and keep the monthly return figures ready.

Tax and paperwork

The UK edition follows HMRC rules for VAT and the Construction Industry Scheme.

VAT
20% on most building work once registered; some work, such as building a new dwelling, is zero-rated, and certain conversions qualify for 5%. Each line can carry its own rate.
CIS as a contractor
Paying subcontractors for construction work makes you a contractor: verify each sub, deduct CIS and file a monthly return to HMRC.
Domestic reverse charge
Applies between VAT-registered businesses on CIS work when the customer is not the end user; homeowners are always charged VAT normally.
Retentions
On commercial work a retention, often 3% to 5%, may be held until practical completion and the end of the defects period. The tracker records when each is due back.

Questions

What is a PC sum?

A prime cost sum is an allowance for an item the client has not chosen yet, like a kitchen. If the real cost differs, the price is adjusted. The quote lists PC sums separately.

Is an extension zero-rated for VAT?

No. Extensions to an existing home are standard-rated at 20%. New dwellings can be zero-rated and some conversions get the 5% rate.

Do I have to deduct CIS from my subbies?

If you are a contractor under CIS, yes, unless HMRC has given the sub gross payment status. Deduct from labour, not materials.

How should I set stage payments?

Tie each payment to a stage of the work rather than a date. The schedule makes the stages clear to the client.
